Creating an Ad-Hoc Web Conference

When to Use Web Conferences

Web conferences (also called WebMeetings) are perfect when you need:

  • Face-to-face video conversation
  • Screen sharing to demonstrate something
  • An immediate meeting without scheduling

How to Start a Web Conference

Step 1: Launch WebMeeting

  1. In your 3CX web client, click on "WebMeeting"
  2. Your browser may ask for permission to use your camera and microphone
  3. Click "Allow" for both

Step 2: Check Your Setup

Before joining:

  • Make sure your camera is pointing at you
  • Test your microphone is working
  • Check your background looks professional
  • Ensure you have good lighting

Step 3: Join the Meeting

Click "Join Now" to enter the meeting room

Step 4: Invite Participants

  1. Look for the "Invite People" button on the right panel
  2. Click it to add participants
  3. You can invite people by:
    • Searching for colleagues in your directory
    • Entering email addresses
    • Sharing a meeting link

Step 5: Share the Meeting Link

The system generates a unique meeting link that you can:

  • Copy and paste into an email
  • Send via chat
  • Share via text message

Anyone with the link can join the meeting.

During the Meeting

You'll have various controls:

  • Mute/Unmute – Control your microphone
  • Video on/off – Toggle your camera
  • Screen share – Show your screen to participants
  • Chat – Send text messages during the call
  • Participants list – See who's in the meeting

Web Conference Tips

  • Join a minute early – Give yourself time to sort out any technical issues
  • Use headphones – Prevents echo and improves audio quality
  • Mute when not speaking – Reduces background noise for everyone
  • Position your camera at eye level – More professional and natural
  • Test your setup beforehand – Especially before important client meetings

Screen Sharing Best Practices

When sharing your screen:

  • Close any confidential or personal tabs
  • Turn off notifications
  • Share only the specific window or application needed
  • Warn participants before sharing
  • Check everyone can see clearly

Top Tip: Good lighting makes a huge difference to video quality. Position yourself facing a window or invest in a simple desk lamp for better visibility.
