Setting Up Your Voicemail
Why Set Up a Greeting?
A professional voicemail greeting tells callers they've reached the right person and when they can expect a callback. It's your voice when you can't answer.
Setting Your Greeting from Your Phone
Step 1: Access Voicemail
- Dial your voicemail number (find this in your welcome email)
- Enter your PIN when prompted
- Press #
Step 2: Navigate to Greeting Settings
- Press 9 for user settings
- Press 8 for greetings
- Press 0 to record a new greeting
Step 3: Record Your Greeting
- When you hear the tone, speak your greeting clearly
- Example: "Hello, you've reached [Your Name] at [Company]. I'm unable to take your call right now, but please leave a message and I'll get back to you as soon as possible."
- Press # when you've finished recording
- Press 0 to save your greeting
Step 4: Review (Optional)
The system will play back your greeting. If you're happy with it, you're done. If not, repeat the process.
Setting Your Greeting from the Web Client
This method is often easier as you can upload a pre-recorded file or record directly through your computer:
- In the web client, click on "Settings"
- Navigate to "Greetings"
- Here you can:
- Record a greeting using your microphone
- Upload an audio file you've recorded elsewhere
- Set different greetings based on your status (Available, Away, Busy)
Status-Based Greetings
This is a powerful feature. You can have different greetings for different situations:
- Available greeting: "I'm away from my desk at the moment..."
- Busy greeting: "I'm in a meeting right now..."
- Out of office greeting: "I'm out of the office until [date]..."
The system automatically plays the appropriate greeting based on your current status.
Top Tip: Keep your greeting current. If you're going on holiday, record a special out-of-office greeting mentioning when you'll be back and who to contact in your absence.
