3CX Chat Function - Team Messaging Guide

Chatting with Colleagues

Why Use the Chat Function?

Sometimes a quick message is better than a phone call – especially for brief questions or when you know someone's busy. The 3CX chat function is perfect for quick collaboration.

Starting a Chat

One-on-One Chat:

  1. Click on the "Chat" icon in your 3CX interface
  2. Click the "Compose" icon (usually a pencil or plus sign)
  3. Start typing a colleague's name in the search box
  4. Select their name from the list
  5. Click "OK"
  6. Type your message and press Enter to send

Group Chat:

Perfect for team discussions or project coordination.

  1. Click on the "Chat" icon
  2. Click the "Compose" icon
  3. Search for and select multiple colleagues by clicking on each name
  4. Click "OK" to create the group
  5. Type your message to the whole group

Chat Etiquette Tips

  • Be clear and concise – Get to the point quickly
  • Use chat for quick questions – Save longer discussions for calls or meetings
  • Check their status – If someone's marked as Busy or In a Meeting, they might not respond immediately
  • Don't expect instant replies – People might be on calls or focused on other work

Finding Old Messages

All your chat history is saved, so you can easily scroll back through previous conversations to find information you need.

Best Practice: Use group chats for project teams to keep all relevant communication in one place. This makes it easy for everyone to stay updated and reference past decisions.
